MyFlightHQ ("us", "we", or "our") operates this application (the "Service"). This page informs you of our policies regarding the collection, use, and disclosure of personal data when you use our Service and the choices you have associated with that data.

Your School Controls Your Records

MyFlightHQ is software licensed to flight schools. If you are a student, renter, instructor, or staff member, you use the Service through the flight school you belong to (your "School"). Your School decides what to record about you, who on its staff can see it, and how long to keep it. We hold and process that information on your School's behalf and under its instructions. We do not sell it, and we do not use it to advertise to you.

Because your School controls those records, requests to see, correct, or delete them are best made to your School first. If you cannot reach them, write to us and we will help.

Information Collection and Use

We collect several different types of information for various purposes to provide and improve our Service to you.

Types of Data Collected

Personal Data

While using our Service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you ("Personal Data"). Personally identifiable information may include, but is not limited to:

  • Email address
  • First name and last name
  • Phone number, which also identifies your login
  • Your School, your role, and any member or student ID your School assigns you

Training and Flight Records

Records your School keeps about your flying in the Service — bookings and lessons, instructor notes and debriefs, syllabus and certificate progress, logbook entries, flight reports and meter readings, and amounts billed, paid, or owed.

Device and Usage Data

Information about how the Service is used, including pages visited, actions taken, approximate time of activity, and — so we can support and lay out the app correctly — the type of device you sign in from (phone, tablet, or desktop) and its screen size. Administrators at your School can see when members were last active and which kind of device they use. We also record technical error reports when something in the app fails.

Use of Data

MyFlightHQ uses the collected data for various purposes:

  • To provide and maintain the Service
  • To notify you about changes to our Service
  • To allow you to participate in interactive features of our Service when you choose to do so
  • To provide customer care and support
  • To provide analysis or valuable information so that we can improve the Service
  • To monitor the usage of the Service
  • To detect, prevent and address technical issues

Who Can See Your Information

  • Your School. Its administrators can see your account and your training records. Instructors see the students and bookings they work with. Other members see only what they need to — for example, the name on a shared booking or an aircraft schedule.
  • Other schools. Never. Each school's data is kept separate, and members of one school cannot see another's.
  • Us. Our staff access school data only to operate, support, and troubleshoot the Service.

Service Providers

We use a small number of third parties to run the Service. They receive only what they need to do their job:

  • Google Cloud and Firebase — hosting, database, and sign-in.
  • Twilio — delivering the SMS messages described below.
  • Stripe — processing card payments, where your School enables them. Card details are handled by Stripe and are never stored by us.
  • Google Sheets — where your School turns on a spreadsheet export, the records it selects are copied to a spreadsheet that your School owns and controls.

SMS Messaging and TCPA Compliance

By providing your phone number and agreeing to our terms, you provide "express written consent" under the Telephone Consumer Protection Act (TCPA) to receive informational and transactional text messages related to your account and flight training schedule. These may include, but are not limited to, booking confirmations, cancellation notices, and instructor updates.

  • You can opt-out of receiving SMS messages at any time by replying "STOP" to any message.
  • Message and data rates may apply.
  • We will not use SMS for marketing or promotional purposes without separate, explicit consent.

Data Retention

We keep your information for as long as your School keeps your account, and afterwards only as long as needed to meet legal, tax, or recordkeeping obligations. Note that flight, training, and maintenance records may need to be retained by your School under aviation regulations even after you leave.

Security of Data

The security of your data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

Children's Privacy

The Service is intended for use by flight schools and their members. We do not knowingly collect information from children under 13. If a School enrolls a minor, it is responsible for obtaining any consent the law requires.

Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes.
